Suppose a campaign brings in 40 inquiries and 20 customers book a visit. If 15 jobs are completed, you have three different numbers to review. This is an illustrative example, but the distinction matters when deciding whether to change advertising or the process that follows it.
An inquiry shows interest. A booking shows that a customer agreed to a visit. A completed job shows that the service took place. Recording each stage lets you ask a more precise question about performance.
Keep the stages separate
For each new inquiry, record the source, requested service, and outcome. If the person books immediately, the initial inquiry should still be visible in your reporting. Otherwise, some successful bookings may disappear from the group you use to assess conversion.
Apply the same approach to inquiries that do not become jobs. A customer who only asks about price, someone outside the service area, and someone who cannot find an available appointment have different reasons for leaving. Use consistent outcome labels so the team can review them later.
Use matching groups when calculating conversion
Booking conversion is the number of booked inquiries divided by the total inquiries in the same group. In the example above, that is 20 out of 40, or 50%. Completion among those bookings is 15 out of 20, or 75%. Neither percentage is a benchmark for your business.
Be careful with timing. A job booked this week may be completed next week. Comparing this week’s new inquiries with all jobs completed this week can mix different groups. Review the progress of the same inquiries, allowing enough time for their outcomes to be recorded.
Match the change to the problem
If many inquiries are outside your service area, review campaign targeting. If interested customers cannot book, review appointment availability. If booked jobs are cancelled, look at the recorded reasons and communication before the visit.
Advertising can bring attention to your business. The review process helps you understand whether that attention becomes work the team can complete.
